Privacy Notice

How Opia and Nu-topia Solutions Ltd. handle relevant information and responsibilities.

1. Overview

This Privacy Notice describes how Nu-topia Solutions Ltd. may collect, use, store, and protect personal data in connection with Opia, licensing, support, maintenance, customer communications, and related business administration.

Opia is an offline-capable, on-premises Windows desktop application for network configuration backup, topology discovery, device inventory, operational review, reporting, automation, issue tracking, and related network administration.

Opia is primarily local and offline by design. Customer operational data is stored on systems controlled by the customer unless the customer chooses to submit it, explicitly configures submission, or separately agrees to provide it to Nu-topia Solutions Ltd. or another support party.

2. Who we are

Nu-topia Solutions Ltd. is the publisher of Opia.

3. What this notice covers

This notice covers personal data that may be processed in connection with:

  • use of Opia;
  • licensing and activation;
  • support requests;
  • support bundles and diagnostic information;
  • sales, renewals, account management, and business communications; and
  • website or contact form data, if such channels are later implemented.

4. Local application data

Opia may store and process operational data locally within the customer-controlled environment. This may include:

  • device inventory;
  • configuration backups and metadata;
  • topology data;
  • network discovery results;
  • device names, hostnames, IP addresses, interface data, VLANs, routing and neighbour information;
  • backup job history;
  • automation history;
  • issue and alert records;
  • notes entered by users;
  • local application settings;
  • runtime events and application logs; and
  • licence state and entitlement metadata.

This local operational data is controlled by the customer and is not automatically sent to Nu-topia Solutions Ltd. by default.

5. Personal data that may appear in local data

Local application data may include limited personal data depending on how the customer configures and uses Opia. This may include:

  • usernames;
  • operator names;
  • email addresses used for notifications;
  • account names contained in logs, device output, notes, or support records;
  • names or contact details entered by users; and
  • personal data incidentally contained in configuration files, command output, logs, screenshots, exports, or support bundles.

6. Information Nu-topia Solutions Ltd. may receive

Nu-topia Solutions Ltd. may receive personal data when a customer, user, or authorised representative:

  • contacts Nu-topia Solutions Ltd. for sales, support, licensing, or account management;
  • sends emails or other communications;
  • submits screenshots, exports, reports, logs, diagnostics, or support bundles;
  • provides licence details, entitlement information, renewal details, or purchase information; or
  • provides contact details for support or commercial administration.

7. Support bundles and diagnostics

Support bundles and diagnostic submissions are user or customer initiated unless separately agreed or explicitly configured.

Support bundles may include:

  • application logs;
  • error details;
  • diagnostic traces;
  • product version;
  • licence status;
  • local database metadata;
  • device inventory metadata;
  • topology metadata;
  • backup job history;
  • automation results;
  • runtime events;
  • application settings;
  • environment details; and
  • screenshots or exported reports if included by the customer.

Support bundles may contain sensitive operational, security, infrastructure, business, and limited personal data. Customers must review, minimise, redact, approve, and authorise any support bundle before submission.

Customers must not submit credentials, secrets, private keys, regulated data, or personal data they are not authorised to share.

Nu-topia Solutions Ltd. may use submitted support information for support, troubleshooting, maintenance, investigation, security review, product improvement, licence verification, and related business purposes.

8. Licensing and activation information

Depending on the licence model used, licensing and activation information may include:

  • licence file data;
  • licence key or entitlement ID;
  • product edition;
  • Managed Network Unit limit and consumed, verified, provisional, remaining and managed-record counts;
  • expiry date;
  • product version;
  • installation or machine identifier;
  • activation or validation status; and
  • customer or account reference.

The exact data processed depends on the licence model, entitlement process, and any separate agreement with the customer.

9. How we use personal data

Nu-topia Solutions Ltd. may use personal data to:

  • provide, maintain, and support Opia;
  • manage licences, renewals, subscriptions, and entitlements;
  • respond to support requests;
  • investigate faults, errors, incidents, and security issues;
  • improve product reliability, compatibility, and usability;
  • communicate service, legal, licensing, support, and administrative information;
  • manage contracts, invoices, quotes, and customer relationships;
  • comply with legal and regulatory obligations; and
  • protect Nu-topia Solutions Ltd.'s rights, systems, users, and customers.

10. Lawful bases

The lawful basis for processing personal data may depend on the specific context. Nu-topia Solutions Ltd. may rely on:

  • Contract: providing software, licensing, support, maintenance, renewals, and account administration.
  • Legitimate interests: product support, troubleshooting, security review, product improvement, business administration, fraud prevention, licence compliance, and protecting systems and customers.
  • Legal obligation: tax, accounting, regulatory, legal claims, and compliance obligations.
  • Consent: where consent is specifically requested, such as optional communications or future optional features.

11. Sharing information

Nu-topia Solutions Ltd. may share personal data with:

  • IT, hosting, email, support, storage, payment, accounting, professional advisory, legal, and business administration providers;
  • resellers, implementation partners, or support partners where relevant and authorised;
  • regulators, law enforcement, courts, or public authorities where required by law; and
  • prospective buyers, investors, or advisers in a business restructuring scenario, subject to appropriate safeguards.

Nu-topia Solutions Ltd. does not sell personal data.

12. International transfers

Some service providers may process data outside the UK. Where this occurs, Nu-topia Solutions Ltd. will use appropriate safeguards where required, such as adequacy decisions or approved contractual protections.

13. Retention

Nu-topia Solutions Ltd. keeps personal data only as long as needed for the purposes described in this notice.

  • Customer account and contract records may be retained for the relationship and then as required for legal, tax, accounting, audit, and dispute purposes.
  • Support records may be retained for troubleshooting, audit, security, service improvement, and customer history.
  • Submitted support bundles may be retained only as long as reasonably needed for support, investigation, security review, legal, or business purposes.
  • Marketing preferences may be retained to honour opt-outs.

14. Security

Nu-topia Solutions Ltd. uses reasonable administrative, technical, and organisational safeguards to protect personal data it receives.

No system is completely secure. Customers remain responsible for securing local installations, operating systems, databases, exports, backups, credentials, and access controls in their own environments.

15. Customer responsibilities

Customers are responsible for:

  • deciding what data is entered into Opia;
  • managing local access controls;
  • protecting credentials and secrets;
  • controlling exports, reports, screenshots, backups, and support bundles;
  • reviewing and redacting data before submitting it;
  • ensuring they have authority to disclose submitted information; and
  • complying with their own privacy, security, regulatory, and employment obligations.

16. Individual rights

Depending on the circumstances and applicable law, individuals may have rights to:

  • access their personal data;
  • ask for inaccurate data to be corrected;
  • ask for data to be erased;
  • restrict processing;
  • object to processing;
  • receive data portability, where applicable;
  • withdraw consent, where processing is based on consent; and
  • complain to the Information Commissioner's Office.

Where personal data is held only in the customer's local Opia environment, requests may need to be directed to the customer organisation rather than Nu-topia Solutions Ltd.

17. Automated decision-making

Nu-topia Solutions Ltd. does not use personal data submitted in connection with Opia to make solely automated decisions with legal or similarly significant effects, unless separately notified.

18. Children

Opia is a business and enterprise product. It is not intended for children.

19. Changes to this notice

Nu-topia Solutions Ltd. may update this Privacy Notice from time to time. The version and effective date will be updated when changes are made.
